Workspace
Your team or organisation will be allocated an area within Waverley Court to work. On each desk there is a docking station for some laptops, and a monitor.
There’s a clear desk policy which means you shouldn’t leave any items on the desk when you go home, so that the desks can be cleaned ready for another colleague to use the next day.
Touchdown zones
You should aim to sit at your designated pod of desks. If the pod is full, then sit within your wider team.
For Council colleagues, if there’s no availability or you’re visiting Waverley Court, there will be shared touchdown areas. We’re currently reviewing touchdown zones and will provide more information soon.
Meeting rooms
There are 43 rooms available for meetings. Council colleagues can use myBookings to find out which rooms are available to book on the courtyard, ground, first and second floors and the equipment in them.
If you’re expecting visitors for a meeting, please give colleagues in reception notice of their visit so they know who to contact when they arrive and can have visitor passes made up. Your visitors will be welcomed and supported more quickly.
To make sure the rooms have the right air quality levels, there are C02 monitors available for each one and guidance on what you should do if the level is too high. If you need a monitor for the room contact the FM Hub.
We recommend keeping meetings to an hour or think about scheduling a regular break in a meeting that’s going to last longer than an hour. You may wish to open the door in a meeting room to help with air quality, but please consider the noise levels which may affect people working close by.
Quiet / Prayer room
This room is available in room G7. It’s not bookable but available as needed.
Toilets
There are toilets on every floor by the central stairs, including accessible toilets. There are also additional toilets by the training rooms on the courtyard floor.
Business centres and tea points
There are several business centres on each floor to support you during your time in the building and they provide the follow resources:
Tea points and fridges
Most Business Centres have a sink for washing up, a zip tap for hot and cold drinking water and a fridge – please follow the signage. Please don’t leave any food overnight in the fridge or leave any cutlery or crockery in the kitchen or cupboards.
Coat racks
There’s space to hang your coats but please take them home each day.
Recycling and bins
There are bins for recycling normal and confidential paper, food waste, cardboard, cans and plastic.
Telephones, computers and electrical equipment
Council colleagues can only use equipment that has been tested and authorised. Please email WaverleyCourt.FacilitiesHub@edinburgh.gov.uk for authorisation.
IT issues and faults
Most of the Council’s IT equipment is managed by CGI (not printers). Find out how to report faults with computers or IT equipment. Partners should contact their own IT supplier.
Using telephones and video (Teams) calls
If your phone call is likely to disturb others nearby or you need to discuss sensitive or confidential information you should go to an area away from others.
Put mobile phones on silent or to a low volume so you can avoid disrupting others.
When you’re having video (Teams) calls, move away from others if possible, and wear headphones, so you don’t disturb them.
Council colleagues can forward office telephones to your mobile phone so that your clients and colleagues may still contact you when working in other locations.

Printing and scanning
For Council colleagues, there are multi functional devices (MFDs) in most business centres for printing, copying and scanning. They’re managed by Apogee. To support us in our move towards being a net zero and paperless organisation, please only print essential items. Keep all documents secure when you travel, and at home.

Deliveries, couriers and mail
For outgoing mail, Council colleagues should use myLetters. If you’re mailing is bigger than the myLetters maximum, please contact mail.services@edinburgh.gov.uk.
Incoming mail is being processed remotely in our mail hub at the South Gyle. The Mail Services team scans incoming mail and sends it to the addressee’s email account.
Couriers can deliver to the FM hub on the courtyard floor, but you should only order supplies that are essential to your services. You shouldn’t use this service for receiving personal parcels, even if you’re working full time from the building.
Deliveries must be directed to the goods entrance at 19 New Street, Edinburgh, EH8 8BH.
If you need daily or weekly deliveries, please notify WaverleyCourt.FacilitiesHub@edinburgh.gov.uk. Reception doesn’t accept deliveries.
You can contact the FM hub on 0131 529 6442, Monday to Friday from 8.30am to 4pm.
The Council has a contract with Eagle Couriers. If you need a courier, contact them through your normal departmental procedure. You should take the item to the goods entrance and make sure Eagle Couriers picks the item up from there.
Changing rooms
There are changing rooms, showers and lockers on the courtyard floor. Please remove all items from the changing room and locker before you go home and return the key to the FM hub.
